Terms of Service

These terms of service apply to the use of PraktijkFlow. By using our services, you agree to these terms.
1. Definitions
In these terms, the following definitions apply:
- Service: the online practice management software PraktijkFlow
- User: the natural or legal person using the Service
- Client: a patient or coachee of the User
- We/us: PraktijkFlow
2. The Service
PraktijkFlow offers practice management software for healthcare professionals, including calendar, client management, invoicing and automatic reminders. The Service is offered as Software-as-a-Service (SaaS).
3. Account
- You are responsible for providing accurate account information
- You are responsible for the security of your account credentials. We strongly recommend enabling two-factor authentication (2FA) for additional security
- You are responsible for all activities under your account
4. Pricing and Payment
- Current prices are listed on our website
- Billing takes place monthly or annually, depending on your choice
- Payment is made via direct debit or credit card
- All prices are exclusive of VAT unless otherwise stated
5. Free Plan
The free plan provides unlimited access to basic features for up to 5 clients. You can upgrade to a paid subscription at any time for more features and clients.
6. Termination
- You can cancel your subscription at any time via your account
- After cancellation, you have access until the end of the paid period
- After cancellation, you can export your data for 30 days
7. Data and Privacy
Your data is processed in accordance with our Privacy Policy. You are the data controller for the client data you enter. We act as the data processor.
8. Intellectual Property
The intellectual property of the PraktijkFlow software, including source code, design, functionality and documentation, belongs to PraktijkFlow. You receive a non-exclusive, non-transferable license to use the Service during your subscription.
You retain all rights to the data you enter in PraktijkFlow, including client data, session notes and invoices. We do not claim ownership of your content.
Feedback and suggestions you provide to us may be freely used by us to improve the Service.
9. Acceptable Use
By using PraktijkFlow, you agree to the following conditions:
- You use the Service only for legitimate practice management in accordance with applicable laws and regulations
- You do not store illegal, harmful or infringing content
- You may not resell, rent or sublicense the Service to third parties
- You do not take actions that could harm the Service or other users
- You respect the security measures and do not attempt to bypass them
- You ensure that the data you enter is accurate and up-to-date
In case of violation of these conditions, we reserve the right to (temporarily) block your account.
10. Liability
- Our liability is limited to the amount you have paid in the past 12 months
- We are not liable for indirect damage, lost profits or consequential damage
- We are not liable for damage due to force majeure
11. Force Majeure
Neither party is liable for failure to fulfill obligations if this is caused by circumstances beyond reasonable control, including but not limited to: natural disasters, war, terrorism, strikes, pandemics, government measures, power outages, and disruptions from suppliers or internet providers.
If a force majeure situation continues for more than 30 days, both parties have the right to terminate the agreement without further obligations.
12. Service Discontinuation
Should PraktijkFlow decide to discontinue the Service entirely, the following conditions apply:
- We will inform you at least 90 days in advance by email about the discontinuation
- During this period, you will have the opportunity to export all your data
- Prepaid subscription fees for the remaining period will be refunded proportionally
- We will provide support for transitioning to alternative software
13. Availability
We strive for an uptime of 99.9% but cannot guarantee this. We announce scheduled maintenance in advance.
14. Changes
We may change these terms. For important changes, we will inform you at least 30 days in advance by email.
15. Applicable Law
Dutch law applies to these terms. Disputes will be submitted to the competent court in Amsterdam.
